Board Meeting August 18, 2025

Present: Grant, Erwin, Andrew, Ron, Brad, Dan, Kyle, Jason

Accepted minutes from last meeting
Finalize vote on sponsorship to BOHC - They are proposing a $1500 sponsorship which will be spread across events. In return, they will reciprocate with a $1500 sponsorship to BOSL. This needs to be addressed now as their season is about to start up for 2025-2026
Vote: 7-0 to approve. Grant to run with this

Membership for 2026
Spent quite a bit of time discussing this. Our break even point for players is $285. Last year we subsidized early birds at $250, this year we plan to offer it at our cost for a limited time. We incurred several unexpected expenses this year including two defibrillators and a set of bases. We have also stepped up our tournaments to include additional washroom facilities as well as EMTs on site for the duration . We decided to run early bird registration until the conclusion of the Annual General Meeting. So until the end of the AGM registration will be $285. $325 will be the cost after that date (October 15th)

Tournament - We're good to go, everything is in place.
Bar staff, Ticket takers are good to go
Marcus will be performing on Friday night and we are hoping to also be able to show the football game.
Grant to order chalk, we do not have enough to get through the tournament weekend
Another bat will be purchased to raffle off to raise Food Bank money.

For the Banquet - Need a ticket taker
Need a DJ
Joe's daughter Tara will be taking photos
Bottle of red and white wine per table
Need to buy alcohol and soft drinks
Centerpieces - ball related
Need toonies for a toonie toss
Dan to come up with a game

Need someone to reach out to sponsors that get banquet tickets to see if they want to attend. Also offer other sponsors option to purchase and attend. Same with Umpires. They are a valued part of our league and should be included.

AGM and Board - Oct 9th last year. We are scheduling the AGM for October 15th this year. Request that Board members that are planning to return make their intentions known to Brad within the next couple of weeks. We will then open it up to members wishing to be considered for the Board.

Kyle won't return

Ron to confirm tournament format - We need to confirm the format, standard or modified with the extra game. Ron polled the cCaptain's committee and it was decided to use the normal 6 game BOSL format.
